About the position

Billings Clinic is seeking an Executive Assistant to provide comprehensive administrative support to the Senior Executive Team. This role is pivotal in coordinating and administering various programs, projects, and processes that align with the organization's key strategies. The Executive Assistant will work closely with leadership and physician leaders, ensuring that all matters requiring attention are addressed promptly and effectively, whether in the presence or absence of senior leadership staff members. The position requires a high level of initiative and judgment, as the Executive Assistant will be responsible for managing appointment calendars, arranging executive-level meetings, and preparing meeting notices, agendas, and presentation materials. In addition to calendar management, the Executive Assistant will take notes and transcribe minutes for various meetings, ensuring timely distribution to relevant parties. The role also involves maintaining physician employment files and contracts, coordinating performance review processes, and assisting with data gathering and analysis for various projects. The Executive Assistant will play a key role in supporting a wide variety of programs and committees, including coordinating special events, developing plans and budgets, and monitoring expenses to ensure they remain within agreed-upon limits. The ideal candidate will possess strong organizational skills and the ability to maintain effective office procedures and workflows. This includes managing multi-line telephone systems, screening calls, and assisting walk-in traffic. The Executive Assistant will also be responsible for maintaining confidential files and data, managing travel budgets, and facilitating payroll reviews for senior leadership direct reports. Responsibilities

  • Provide administrative support for the Senior Executive Team.
  • Coordinate and administer programs, projects, and processes to support key strategies.
  • Manage appointment calendars and arrange executive-level meetings.

  • Take notes and transcribe minutes for various meetings.

  • Assist with data gathering, compilation, and formatting.
  • Support a wide variety of programs, projects, and committees.
  • Coordinate special events, committee meetings, conferences, and retreats.
  • Develop plans, budgets, and presentations for events.
  • Monitor invoices and expenses, maintaining budgets.
  • Prepare and control records, statistics, and reports regarding business operations.
  • Perform data gathering and analysis for various projects.
  • Compose, draft, and prepare correspondence and reports.
  • Answer multi-line telephone and screen incoming calls.
  • Act as a resource for leaders, physicians, and staff in various areas.
  • Develop and maintain effective office procedures and workflows.
  • Maintain confidential files and data.
  • Manage travel budgets and expenses/invoices.
  • Facilitate and coordinate bi-weekly payroll review and authorizations.

Requirements

  • Minimum 2 Year / Associate Degree in related field.
  • Previous experience in a healthcare organization or equivalent combination of education and experience.
  • Strong organizational skills and ability to work with minimal supervision.
  • Proficient in managing appointment calendars and executive-level meetings.
  • Ability to take notes and transcribe minutes accurately.
  • Experience in maintaining confidential files and data.
