About the position

The Executive Assistant 1 position involves performing executive clerical and related administrative work under the supervision of an Entity VP/COO, Corp Functional VP, or Foundation VP. This role is critical in supporting the executive team by managing a variety of complex clerical tasks, administrative duties, and special projects that are essential to the functioning of the entity. The position requires a strong understanding of the executive's responsibilities, as well as the policies, programs, procedures, and regulations that govern the entity's operations. In this role, the Executive Assistant will be responsible for arranging and attending conferences, managing schedules, and independently answering inquiries based on established policies or precedents. The position also involves taking and transcribing dictation, composing and typing correspondence, and conducting research to compile data for special reports and other purposes. The Executive Assistant will utilize a range of office skills and exercise considerable independent judgment to relieve the supervisor of various administrative details, ensuring that the executive's time is managed effectively. General supervision is provided by the employee's leader, who reviews the work for satisfactory performance of executive clerical duties and the attainment of desired goals and objectives. The estimated pay range for this position is between $22.20 and $26.86 per hour, depending on the candidate's experience.

Responsibilities

  • Perform executive clerical and administrative work for the assigned executive(s).
  • Arrange and attend conferences and meetings as required.
  • Independently answer inquiries based on established policies or precedents.
  • Take and transcribe dictation accurately.
  • Compose and type correspondence for the executive(s).
  • Conduct research to compile data for special reports and other purposes.
  • Utilize various office skills and independent judgment to manage administrative details.
  • Maintain confidentiality of sensitive information.

Requirements

  • High School diploma or equivalent required; Associate's degree preferred.
  • Clerical and administrative experience is required.
  • Advanced knowledge of computer applications, including MS Office Tools and Internet.
  • Ability to operate office equipment such as copiers, fax machines, and printers.
  • Strong written and verbal communication skills are essential.
  • General knowledge of company policies, practices, and operations is necessary.
  • Ability to maintain confidentiality is a must.
  • Minimum of 3 years of relevant experience.
