The Nursing Office Administrative Assistant position is a temporary contract role located at 1500 San Pablo Street, Los Angeles, CA 90033. The primary responsibility of this role is to provide comprehensive administrative and secretarial support to the Nursing Directors and Nurse Managers. This includes scheduling and coordinating meetings, seminars, and travel arrangements, as well as managing daily priorities and performing both independent and collaborative projects as needed. The position is expected to start as soon as possible and has a duration of 13 weeks, with the potential for renewal based on performance and departmental needs. In this role, the Nursing Office Administrative Assistant will be responsible for a variety of clerical and reception duties that are essential for the smooth functioning of the Nursing Office and nursing units. Key tasks include typing and proofing various materials such as correspondence, memos, reports, and charts, ensuring that all documents are edited, copied, and disseminated appropriately. The assistant will also handle incoming calls, screen them, take messages, and provide assistance to callers within the scope of their authority. Additionally, the assistant will maintain Nursing Policies and Procedures, ensuring they are formatted correctly for committee review and approval. This includes routing updated policies for posting on the hospital's intranet. The role requires collaboration with the Chair of the Nursing Operations Council to ensure that all documentation is accurate and up to date. The Nursing Office Administrative Assistant will also be responsible for maintaining accurate records and files, coordinating schedules, arranging meetings and appointments for the Chief Nursing Officer, and providing research and administrative support for special projects. This includes preparing data and follow-up projects as directed, as well as coordinating travel arrangements, including lodging and transportation, and preparing travel authorization forms and expense reports. Confidentiality is paramount in this role, as the assistant will handle sensitive information such as patient medical records and hospital financial data. The assistant will also process inquiries from patients and their families, assessing the urgency of situations and making appropriate referrals when necessary. Additional duties include taking minutes at meetings, preparing agendas, scheduling rooms, and making meal arrangements as required.
