About the position

The Executive Assistant provides high-level administrative support to vice president and senior vice president roles at Children's Healthcare of Atlanta. This position is crucial in managing schedules, coordinating meetings, and ensuring efficient communication within the organization. The role emphasizes a commitment to customer service and organizational skills, contributing to the overall mission of the hospital to improve children's health.

Responsibilities

  • Maintains calendar and schedules appointments for assigned leaders.
  • Schedules meetings, including reserving rooms, ordering meals, and developing agendas.
  • Maintains payroll reports for assigned staff, including sick and vacation time.
  • Approves expense reports as assigned by the leader.
  • Screens incoming phone calls and manages relationships with vendors and staff.
  • Prepares department and committee minutes and coordinates meeting materials.
  • Provides backup support for other Executive Assistants as needed.
  • Opens and distributes mail as requested.
  • Assists with budget preparation and management, processes invoices and reconciles financial transactions.

Requirements

  • 4 years of administrative experience supporting vice president-level roles.
  • Demonstrated verbal and written communication skills.
  • Strong organizational and customer service skills.
  • Advanced computer skills, including proficiency in Microsoft Office and Windows-based applications.

Nice-to-haves

  • Bachelor's degree in Business, Healthcare, or a related field.
