Candidates should have 3-5 years of executive support experience, demonstrating strong telephone etiquette and exceptional interpersonal skills. The Executive Assistant will play a crucial role in daily management tasks, which include coordinating internal and external meetings, conference calls, and video conferences with multiple countries. This position serves as the first point of contact for all external matters, which involves call screening, processing mail, and managing meeting requests. The role also requires extensive travel arrangements and bookings, including the preparation of detailed itineraries and necessary documentation. It is essential for the Executive Assistant to ensure that the Executive Vice President (EVP) is contactable and reachable at all times. Additional responsibilities include the preparation and processing of expense reports to ensure timely repayment to corporate credit cards, as well as document preparation for various formats such as presentations, word documents, and spreadsheets. The Executive Assistant will also receive and prepare documentation for approval by the EVP, ensuring a constant and smooth communication flow, including tracking of purchase orders. This role is integral to maintaining the efficiency and effectiveness of the executive office, contributing to the overall success of the organization.

Responsibilities

  • Daily management including coordinating internal and external meetings, conference calls, and video conferences with multiple countries.
  • First point of contact on all external matters including call screening, processing mail/post, and meeting requests.
  • Extensive travel arrangements and bookings including detailed itineraries and document preparation.
  • Ensure the EVP is contactable/reachable at all times.
  • Preparation and processing of expense reports ensuring timely repayment to corporate credit cards.
  • Document preparation including presentations, word documents, and spreadsheets.
  • Receive and prepare documentation for approval by EVP, ensuring a constant and smooth communication flow including tracking of purchase orders.

Requirements

  • Bilingual proficiency in English and Spanish (verbal and written); Portuguese is a plus.
  • 3-5 years of executive support experience.
