About the position

The Executive Assistant plays a crucial frontline role at AIG, providing essential administrative support to senior management in the Accident and Health division. This position requires advanced skills and significant experience in managing complex tasks, including calendar management, travel arrangements, and office coordination, all while maintaining a professional demeanor and discretion.

Responsibilities

  • Manage heavy calendar scheduling using Microsoft Outlook, including booking meetings and maintaining the Executive's calendar.
  • Execute domestic and international travel arrangements flawlessly.
  • Handle day-to-day office tasks such as registering visitors and preparing agendas.
  • Take accurate phone messages and prepare confidential correspondence.
  • Coordinate IT issues for the Executive, including arranging help desk support.
  • Book conference and team rooms, including setup and breakdown services for meetings and presentations.
  • Set up new or transfer hires by ensuring all necessary systems and applications are operational on their start date.
  • Manage supply inventory and ordering as necessary.
  • Prepare expenses and submit for review and approval in Concur.
  • Prepare invoices through SAP.

Requirements

  • Prior Executive Assistant experience supporting senior level management.
  • Experience managing complex calendars and coordinating travel arrangements internationally and domestically.
  • Self-starter with initiative.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office products.
  • Proficiency in Salesforce preferred.
  • Strong interpersonal and organizational skills, detail-oriented.
  • Ability to maintain discretion and project a professional demeanor.
