About the position

The Executive Assistant plays a crucial frontline role at AIG, providing essential administrative support to senior management. This position is pivotal in managing the executive's calendar, coordinating travel arrangements, and handling various office tasks, ensuring smooth operations within the General Insurance division. The ideal candidate will demonstrate advanced skills in clerical and administrative duties, contributing significantly to the efficiency of the executive team.

Responsibilities

  • Manage heavy calendar scheduling using Microsoft Outlook, including booking meetings and maintaining the Executive's calendar.
  • Execute domestic and international travel arrangements flawlessly.
  • Handle day-to-day office tasks such as registering visitors and preparing agendas.
  • Take accurate phone messages and prepare confidential correspondence.
  • Coordinate IT issues for the Executive, including arranging help desk support.
  • Book and set up conference and team rooms for meetings and presentations.
  • Ensure all systems and applications are ready for new or transferring hires on their start date.
  • Manage supply inventory and ordering as necessary.
  • Prepare and submit expenses for review and approval in Concur.
  • Prepare invoices through SAP.

Requirements

  • Prior Executive Assistant experience supporting senior level management.
  • Experience managing complex calendars and coordinating travel arrangements.
  • Self-starter with initiative and excellent verbal and written communication skills.
  • Proficiency in Microsoft Office products; proficiency in Sales Force preferred.
  • Strong interpersonal and organizational skills, detail-oriented, and able to maintain discretion.
