About the position

The Executive Assistant will provide high-level administrative support to the President of Agemy Financial Strategies, ensuring efficient operation of the executive office. This role requires strong organizational skills, the ability to manage multiple tasks, and excellent interpersonal skills to foster relationships with team members and clients. The Executive Assistant will handle confidential matters, coordinate meetings and travel, and support various administrative functions to enhance the productivity of the executive team.

Responsibilities

  • Manage and organize the President's calendars and meetings.
  • Coordinate travel and meeting logistics for the President.
  • Handle all telephone communications for the President.
  • Maintain confidentiality regarding the President's matters and discussions.
  • Oversee office and facility issues to ensure a safe and healthy work environment.
  • Support the President and other executives on confidential matters.
  • Prepare internal and external correspondence and presentations.
  • Conduct research and prepare statistical reports as needed.
  • Organize and maintain office records and files.
  • Coordinate company-related events, including meetings and product shows.
  • Assist with human resources tasks, including maintaining personnel files and payroll reporting.
  • Support sales and marketing initiatives and handle client inquiries.
  • Plan and manage public relations campaigns and write press releases.
  • Coordinate participation in events and manage logistics for speaking engagements.

Requirements

  • 5 years of administrative experience supporting C-Level executives.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Access).
  • Strong organizational and project management skills.
  • Excellent communication skills, both written and verbal.
  • Ability to handle confidential information with discretion.
  • Experience in a fast-paced office environment.

Nice-to-haves

  • Experience in the financial industry or as a brokerage Sales Assistant.
  • Licensed in insurance and Series 65 (not required).
  • CRM software experience.
  • Social media management experience.
