About the position

Amazon Ads is seeking a self-driven, highly organized, customer obsessed Executive Assistant to support the VP of Amazon Ads, CreativeX. This role requires outstanding planning and communication skills. The right candidate will have a strong bias for action and the ability to operate proactively and strategically, anticipating needs based on a thorough understanding of leader and team priorities. Looking around corners, impeccable attention to detail, strong judgement, and the ability to meet tight deadlines while juggling multiple requests across global teams are all critical to success. A high level of integrity and discretion handling confidential information and professionalism dealing with senior executives inside and outside the company is important. This role leads a small team of EAs and coordinates frequently with EAs across the broader Ads org. The ability to foster a positive team environment is a must, as is flexibility and a willingness to turn on a dime and take effective action as priorities shift. This is a NYC based in-office role.

Responsibilities

  • Complex calendar management and coordination for high-level internal and external meetings
  • Seamlessly manage detailed domestic and international travel itineraries, as well as expense reporting
  • Manage team space planning and onsite morale/team building activities
  • Partner closely with the leadership team, key business partners, and CreativeX team EAs to provide holistic support to the organization, including oversight of EA allocation, hiring, and onboarding
  • Track and help drive completion of key deliverables and follow up on outstanding items
  • Coordinate and communicate effectively with a variety of groups including peers, internal and external stakeholders

Requirements

  • 5+ years of executive assistant experience
  • Experience with executive level calendar management
  • Experience leading process improvements
  • Experience with domestic or international travel coordination
