About the position

We are looking for a well-organized and self-motivated Executive Assistant (EA) to join our International Stores EA Team, supporting two Directors in Amazon Payments Finance in Seattle. This exciting role requires a driven, bright, and motivated individual with a history of high performance to support our organization. The ideal candidate will possess a strong attention to detail, excellent organization and prioritization skills, and the ability to plan ahead and meet tight deadlines while juggling multiple critical requests. A high level of integrity and discretion in handling confidential information is essential, as is professionalism in dealing with leaders both within and outside of Amazon. Flexibility and the ability to change direction seamlessly are also important traits for this role. In this position, you will be responsible for completing complex tasks and projects quickly with minimal guidance, reacting with appropriate urgency to situations that require a quick turnaround, and taking on varied and exciting new projects while learning new skills. You will need to take effective action without having to know the total picture and proactively solve difficult or complex problems that affect people within the department or other related groups. Key responsibilities include proactively coordinating and engaging with leadership in planning and organizing events, managing complex calendar and scheduling requirements, organizing and prioritizing time-sensitive, confidential information, and ensuring timely action on required tasks. You will also track and help drive the completion of key deliverables, act as a liaison for direct reports, and drive key team activities such as staff meeting agendas, all-hands meetings, and team off-sites. Additionally, you will manage group logistics, create detailed travel itineraries for both domestic and international travel, and coordinate closely with various teams within the Amazon community.

Responsibilities

  • Proactively coordinate and engage with leadership in planning and organizing events, activities, and calendars.
  • Management of complex calendar and scheduling requirements.
  • Organize, prioritize, and appropriately handle time-sensitive, confidential information and ensure action required is addressed in a timely manner.
  • Track and help drive completion of key deliverables and follow up on outstanding items.
  • Act as a liaison for direct reports.
  • Drive key team activities such as staff meeting agendas, all-hands meetings, and team off-sites.
  • Update team organizational charts.
  • Manage group logistics.
  • Schedule cost-effective air/hotel/ground transportation.
  • Create detailed travel itineraries both domestic and international, including smooth transitions between time zones.
  • Coordinate with in-house travel agents and manage the international travel process.
  • Submit expense reports in a timely fashion.
  • Coordinate closely with Recruiting teams, Facilities team, HR team, and other Executive Assistants within the Amazon community.
  • Participate in planning of events.
  • Have fun at work and help others do the same.

Requirements

  • 3+ years of senior level leadership support experience.
  • Experience with executive level calendar management.
  • Experience with domestic or international travel coordination.
  • Experience with Microsoft Office products and applications.
