About the position

The Executive Assistant and External Affairs Office Coordinator plays a crucial role in providing comprehensive administrative support to the External Affairs division. This position serves as the primary assistant to the Vice President of External Affairs, facilitating and directing the daily operations of the External Affairs office, which includes multiple Program Directors and the Assistant Vice President of External Affairs. The incumbent is responsible for managing the day-to-day events and needs of the Assistant Vice President, ensuring that all tasks are prioritized and executed efficiently. In this role, the Executive Assistant will regularly handle multiple projects, often requiring work during and outside of normal business hours. The position demands a high level of independence, as it is performed under minimal supervision. The successful candidate will need to exercise sound judgment and discretion in various situations, making decisions that align with college policies and departmental regulations. The work environment is dynamic and can be highly stressful, necessitating the ability to maintain composure and effectiveness under pressure. The Executive Assistant will also be expected to establish and maintain effective working relationships with both internal and external stakeholders, showcasing exceptional written and verbal communication skills, as well as professional customer service abilities.

Responsibilities

  • Provide administrative support for the External Affairs division.
  • Serve as the assistant to the Vice President of External Affairs.

Requirements

  • A Bachelor's Degree in Business Management or related field.
  • Three to five years of administrative support experience or an equivalent combination of education and experience.
  • Ability to prioritize job responsibilities and work effectively in highly stressful situations.
  • Ability to make sound decisions in accordance with college policy, rules, regulations, and departmental policies.
  • Demonstrates the ability to establish and maintain effective working relationships internally and externally.
  • Exceptional written and verbal communication skills.
  • Professional customer service skills.
  • Fluency in word processing and preparing spreadsheets.
  • Knowledge of modern office practices and procedures.
  • Self-starter with the ability to work independently.
