About the position

The Executive Assistant and External Affairs Office Coordinator plays a crucial role in providing administrative support to the External Affairs division at Richland Community College. This position serves as the assistant to the Vice President of External Affairs and is responsible for facilitating and directing the day-to-day functions of the External Affairs office, which includes multiple Program Directors and the Assistant Vice President of External Affairs. The coordinator will assist in managing the daily events and needs of the Assistant Vice President, ensuring that all tasks are prioritized and executed efficiently. The role requires the ability to manage multiple projects simultaneously, often during and outside of normal working hours. The work is performed under minimal supervision, necessitating a high degree of independent judgment and discretion. The Executive Assistant must be adept at navigating highly stressful situations and making sound decisions in accordance with college policies and departmental regulations. This position is integral to maintaining effective working relationships both internally and externally, and it demands exceptional written and verbal communication skills, as well as professional customer service abilities. In addition to administrative duties, the coordinator will be expected to demonstrate proficiency in word processing and spreadsheet preparation, alongside a solid understanding of modern office practices and procedures. Flexibility in working hours is essential, as the position may require attendance at events during nights and weekends, as well as occasional local and out-of-state travel. The physical demands of the job include the ability to lift and carry objects weighing up to 25 pounds and to respond effectively to multiple concurrent issues in a fast-paced environment.

Responsibilities

  • Provide administrative support for the External Affairs division.

Requirements

  • Bachelor's Degree in Business Management or related field.
  • Three to five years of administrative support experience or an equivalent combination of education and experience.

  • Ability to make sound decisions in accordance with college policy, rules, regulations, and departmental policies.
  • Demonstrated ability to establish and maintain effective working relationships internally and externally.
  • Exceptional written and verbal communication skills.

  • Fluency in word processing and spreadsheet preparation.
  • Knowledge of modern office practices and procedures.
  • Self-starter with the ability to work independently.
