About the position

The Executive Assistant and Project Coordinator will provide high-level administrative support to senior executives while managing and coordinating various projects across departments. This role requires strong organizational skills, attention to detail, and the ability to juggle multiple tasks and projects simultaneously, acting as a liaison between executives, stakeholders, and project teams to ensure smooth execution of business priorities.

Responsibilities

  • Manage and coordinate executives' schedules, appointments, and travel arrangements.
  • Act as the point of contact between executives and internal/external clients.
  • Draft emails, reports, and presentations.
  • Organize and prepare for meetings, including agenda creation, taking minutes, and following up on action items.
  • Arrange business travel, accommodations, itineraries, and expense reporting.
  • Handle sensitive information with discretion and maintain a high level of professionalism.
  • Support project planning, tracking milestones, deadlines, and deliverables.
  • Work closely with internal teams and external vendors to ensure alignment on project goals.
  • Create, maintain, and distribute project-related documents such as timelines, reports, and status updates.
  • Proactively identify issues, roadblocks, and risks, and help develop solutions to keep projects on track.
  • Provide regular status reports to leadership on project progress and any outstanding issues.

Requirements

  • Bachelor's degree in business administration, communications, or a related field preferred.
  • 5 to 8 years of experience in executive support and project coordination.
  • Proficiency in MS Office Suite (Excel, PowerPoint, Word, Outlook).
  • Experience with project management tools like MS Project is a plus.
  • Strong verbal and written communication skills with an ability to interact professionally with all levels of an organization.
  • Excellent organizational skills, with the ability to manage competing priorities and deadlines.
  • A proactive approach to identifying potential issues and proposing solutions.
  • Ability to handle confidential and sensitive information appropriately.

Nice-to-haves

  • Project management certification (PMP, CAPM) is an added advantage.
  • Familiarity with budget tracking and resource management.
