About the position

The Executive Assistant will provide comprehensive support to a busy real estate agent and home décor store owner, ensuring efficient operations in both sectors. This role requires a proactive individual who can manage various administrative tasks, coordinate real estate activities, and assist with home décor store operations, all while maintaining a high level of organization and communication.

Responsibilities

  • Manage and prioritize the agent's and store owner's calendars, scheduling appointments, meetings, and property showings.
  • Handle all incoming and outgoing communications, including emails, phone calls, and client inquiries.
  • Coordinate travel arrangements and prepare itineraries.
  • Assist in preparing presentations, proposals, and marketing materials for real estate and store promotions.
  • Maintain an organized filing system for client contracts, transaction records, and vendor agreements.
  • Manage MLS listings, update property details, and handle photography, staging, and marketing for new listings.
  • Coordinate with buyers, sellers, and escrow to ensure smooth transactions.
  • Research and provide market data to support pricing strategies.
  • Assist in scheduling property tours, open houses, and showings.
  • Assist with inventory management, product orders, and vendor communication.
  • Coordinate in-store events, promotions, and customer engagement efforts.
  • Help manage the store's social media presence, ensuring brand consistency and engagement.
  • Provide customer service, answering product-related inquiries, and resolving issues.
  • Oversee deliveries and manage shipping logistics for furniture and décor items.
  • Assist in creating content for social media platforms and newsletters, highlighting real estate listings and new store arrivals.
  • Maintain a consistent brand voice and aesthetics across both real estate and store marketing efforts.
  • Coordinate photoshoots for properties and store products, ensuring high-quality visuals for promotional materials.

Requirements

  • Proven experience as an Executive Assistant, preferably in real estate or retail environments.
  • Strong organizational and multitasking skills with attention to detail.
  • Excellent written and verbal communication abilities.
  • Technology savvy, familiar with Apple Products and proficient in Google Workspace.
  • Experience with real estate platforms (e.g., MLS, Realtor), CRM systems, and e-commerce tools is a plus.
  • Ability to handle sensitive and confidential information with discretion.
  • A proactive approach and the ability to anticipate needs.

Nice-to-haves

  • Real estate experience and hold an Indiana Real Estate license (not necessarily required).
  • Knowledge of social media management and marketing tools is an advantage.
  • A keen eye for design and interest in home décor and furniture is a plus.
