About the position

The Executive Assistant will provide comprehensive support to the Chief Information Officer (CIO) and the IT department at Oldcastle APG. This role is crucial for managing administrative tasks, coordinating schedules, and facilitating efficient communication within the organization. The successful candidate will be proactive and highly organized, ensuring that the CIO and IT leadership can focus on strategic initiatives while administrative functions are handled effectively.

Responsibilities

  • Schedule and coordinate meetings, appointments, and travel arrangements for the CIO and IT leadership.
  • Act as a primary point of contact for internal and external communications, including screening calls, managing emails, and responding to inquiries on behalf of the CIO and IT department.
  • Prepare and distribute documents, presentations, and reports as needed, ensuring accuracy and confidentiality of information.
  • Organize and facilitate meetings, including preparing agendas, taking minutes, and following up on action items to ensure timely completion.
  • Coordinate with vendors and suppliers as needed, including managing contracts, invoices, and procurement processes for IT-related services and supplies.
  • Track and reconcile expenses, process invoices, and maintain accurate records of departmental spending.
  • Maintain organized filing system (SharePoint/Teams) ensuring easy access to information and compliance with data security policies.
  • Assist with special projects and initiatives as assigned by the CIO, providing support and expertise to help achieve departmental objectives.

Requirements

  • Bachelor's degree in business administration, information technology, or related field preferred.
  • Proven experience as an executive assistant or similar role in a fast-paced environment, preferably in a technology or IT-related environment.
  • Strong organizational skills with the ability to prioritize tasks and manage multiple projects simultaneously.
  • Excellent communication skills, both verbal and written, with a professional and courteous demeanor.
  • Proficiency in Microsoft Office suite (especially Excel and PowerPoint).
  • Discretion and confidentiality when handling sensitive information.
  • Flexibility and adaptability to changing priorities and deadlines.
  • Strong attention to detail and accuracy in all aspects of work.
