About the position

We are seeking an experienced and highly organized Executive Assistant to provide administrative support to our executive team while taking on additional responsibilities related to operations. The ideal candidate will be able to balance the demands of executive assistance with operations duties, ensuring the smooth and efficient functioning of the organization. This role requires a bilingual individual fluent in Mandarin and English, who can effectively communicate and manage tasks across various departments. The Executive Assistant will coordinate and organize company events, conferences, and meetings, assisting in the preparation of meeting agendas and taking minutes during meetings. Handling confidential information with discretion is crucial, as is maintaining a high level of professionalism. The successful candidate will also streamline and improve operational processes within the organization, oversee and manage office supplies, equipment, and facilities, and ensure the general repair and maintenance of office facilities, including electrical, plumbing, HVAC, and general upkeep. In addition, the Executive Assistant will coordinate with external vendors and contractors for maintenance and repair services, assist in managing the budget for office repair and maintenance, including cost tracking and financial reporting, and liaise with various departments to ensure the efficient execution of projects and tasks. This position acts as a bridge of communication between the executive team and other departments, conducting research and compiling data for various projects and reports, and performing any other job duties as assigned.

Responsibilities

Requirements

  • Bachelor's degree in business administration, management, or a related field.
  • Proficiency in office software (e.g., Microsoft Office, Outlook).
  • Prior experience as an executive assistant or a similar role.
  • Prior experience in office repair, maintenance, or facilities management.
  • Excellent organizational and time management skills.
  • Exceptional communication and interpersonal skills.
  • Exceptional writing skills for correspondence, memos, emails, and manuals.
  • Bilingual, Mandarin and English preferred.
