About the position

The Executive Assistant to the Board of Directors at PayPal plays a crucial role in supporting the Board Operations team and the Corporate Secretary. This position is responsible for ensuring that all logistical needs for the Board and its associated committees are met efficiently and effectively. The Executive Assistant will provide comprehensive and confidential support, managing complex scheduling, maintaining a multi-year board and committee meeting calendar, and scheduling appointments for directors. This role also involves assisting with event planning and coordinating logistical arrangements for quarterly board meetings, dinners, and off-site meetings, which includes researching venues, media requirements, catering, and clean-up. In addition to scheduling and event coordination, the Executive Assistant will manage the Board's travel logistics, including hotels, flights, ground transportation, and the director reimbursement process. Excellent communication with board members and their assistants is essential, as the Executive Assistant will be responsible for communicating key meetings, events, invitations, and information in a timely manner. Providing exemplary customer service in response to all internal and external stakeholder requests is a key aspect of this role. The Executive Assistant will also oversee the storage and access to board-related documents, minutes, and agendas, assist with drafting, editing, and proofreading Board Operations communications, and maintain strong working relationships with executive management and their assistants. This position requires a high level of discretion, as the Executive Assistant will be privy to sensitive discussions that may impact employees or the company. The role also involves maintaining board orientation materials, databases, policies, and online resources, as well as coordinating signatures for resolutions as needed. Overall, this position is integral to the smooth operation of the Board of Directors and requires a highly organized individual with strong interpersonal skills and the ability to manage multiple priorities effectively.

Responsibilities

  • Provide comprehensive and confidential support to the Board Operations team and Corporate Secretary.
  • Manage complex scheduling and maintain a multi-year board and committee meeting calendar.
  • Schedule appointments for directors and maintain meeting calendars for the Board Operations team.
  • Assist with event planning and coordinate logistical arrangements for quarterly board meetings, dinners, and off-site meetings.
  • Manage the Board's travel logistics including hotels, flights, ground transportation, and director reimbursement process.
  • Maintain excellent communication with board members and their assistants.
  • Communicate key meetings, events, invitations, and information in a timely manner.
  • Provide exemplary customer service in response to all internal and external stakeholder requests.
  • Oversee and administer the appropriate storage of board-related documents, minutes, and agendas.
  • Assist with drafting, editing, and proofreading Board Operations communications.

  • Maintain board orientation binder, databases, policies, and online resources.
  • Coordinate and obtain signatures from directors, officers, and executives for resolutions as needed.
  • Perform general clerical duties including photocopying, scanning, mailing, and filing.

Requirements

  • Minimum of 10 years of progressively responsible experience as an executive assistant, with at least one position supporting a CEO or similar C-Suite executive.
  • Experience working with a public company board is highly desirable.
  • Highly organized with a demonstrated ability to work under pressure and balance competing priorities.
  • Extremely high attention to detail.
  • Demonstrated ability to work productively and manage time effectively, both independently and in a team.
  • Strong interpersonal skills and ability to communicate with high-profile individuals.
  • Ability to write clear and effective correspondence and presentation materials.
  • Proficient in Microsoft PowerPoint, Word, Excel, Outlook, and Adobe Creative Suite.
  • California Notary License required within 12 months of hire and maintained thereafter.

Nice-to-haves

  • Experience collaborating with diverse teams and a wide variety of stakeholders.
  • Proficiency with a board portal is preferred but not required.
