The Executive Assistant - Board Services provides high-level administrative, secretarial, and paralegal support to the Board of Trustees at Fort Worth Independent School District. This role is crucial for ensuring the smooth operation of Board meetings, retreats, and hearings, as well as maintaining official records and correspondence. The position requires a high degree of confidentiality and responsibility, as well as the ability to interact with diverse stakeholders and manage multiple tasks effectively.

Responsibilities

  • Provides primary administrative and secretarial support for Board meetings, hearings, retreats, and committees.
  • Prepares and distributes meeting notices, agendas, meeting materials, and minutes.
  • Drafts and types Board resolutions as directed.
  • Arranges for sound and video taping of Board meetings and hearings.
  • Prepares and indexes official Board meeting minutes.
  • Researches questions and problems and makes recommendations for resolution.
  • Develops the list of meeting follow-up actions and new business items.
  • Prepares the official Board meeting schedule and ensures proper notice is given.
  • Maintains all official records of the Board.
  • Responds to public inquiries regarding Board meetings, procedures, actions, and appeals.
  • Provides administrative support for appeal matters before the Board, including drafting correspondence and tracking cases.
  • Creates and maintains filing and organization systems for records and documents.
  • Provides secretarial support for Board committees, including preparing materials and drafting minutes.

Requirements

  • High School Diploma or GED required.
  • Associates degree preferred with coursework in Paralegal Studies or Pre-law.
  • Paralegal certificate desired.
  • 4 years of progressively responsible experience in office management with high-level secretarial/data management functions.

  • Knowledge of applicable federal and state laws regarding education and students.
  • Ability to synthesize information into well-written analytical documents.
  • Ability to multi-task, prioritize, and organize a busy workload.
  • Ability to communicate effectively, both orally and in writing.

Benefits

  • Salary range of $51,624 - $62,197 per year.
  • 239 duty days per year.
