About the position

As an Executive Assistant Business Partner at Intuit, you will play a crucial role in supporting the executive and senior management teams. This position requires a proactive individual who can manage complex calendars, coordinate travel arrangements, and facilitate meetings effectively. You will be responsible for ensuring that the executives' schedules are organized and that they are prepared for their engagements. Your role will also involve interacting with various departments, employees, vendors, and customers, acting as a liaison to ensure smooth communication and operations within the organization. In addition to calendar management, you will be tasked with providing timely responses to emails, voicemails, and written correspondence on behalf of the executives. You will also be responsible for tracking and reconciling budget reports, ensuring that departmental spending is monitored and communicated effectively. Your ability to maintain accurate databases and assist with organizational chart maintenance will be essential in keeping the department organized and efficient. The role requires strong problem-solving skills and the ability to handle high volumes of communication in a fast-paced environment. You will need to demonstrate excellent organizational skills, particularly in event planning, as you will support large meetings, off-sites, and team motivation events. Your communication skills will be vital as you will need to convey information clearly to diverse audiences and at multiple levels within the organization. Flexibility and adaptability are key, as priorities may shift rapidly, and you will need to manage multiple tasks simultaneously while maintaining a high level of service and accuracy.

Responsibilities

  • Manage departmental executive and senior manager's calendar(s), travel, meetings and/or daily schedules.
  • Interact cross-functionally with departments, employees, vendors or customers in need of meeting with department leaders.
  • Provide timely response to emails, voice-mails, and written correspondence on behalf of manager.
  • Track and reconcile budget reports with department spending; keep manager informed.
  • Act as a liaison to corporate offices and/or other business units/functional groups.
  • Ensure a high level of service and accuracy in answering questions for employees and vendors.
  • Maintain and/or create accurate databases to track departmental information.
  • Assist with organizational chart maintenance for functional group or business unit.
  • Research and analyze data within the context of a project, departmental needs, or company direction and make recommendations for improvements.
  • Communicate clearly at multiple levels and with diverse audiences.
  • Effectively organize and maintain the business environment for department/manager.
  • Handle multiple tasks while being flexible as priorities and focus can change rapidly.

Requirements

  • High School diploma or G.E.D.
  • Experience working in a corporate communication team is a plus.
  • Proficient in a suite of standard office software and operation of office equipment.
  • Fundamental project management experience, including development of basic project plans and successful execution.
  • Strong organizational skills.
  • Experience in event planning, including support for large meetings, off-sites, and team motivation events.
  • Demonstrated problem-solving skills.
  • Experience managing high volumes of emails and phone calls.
  • Proven experience working in a fast-paced environment while providing superior service levels.
  • Strong written and verbal communication skills.
  • Must be proactive, take ownership, respond quickly, and have excellent follow-through skills.
