About the position

The Platform Engineering organization at Uber is seeking an experienced Executive Assistant Business Partner II to provide comprehensive support to executives within the Security Engineering and Enterprise Security teams. This role is pivotal in delivering high-level administrative and program support across various technical teams, necessitating a deep understanding of the complexities involved in tech teams that operate across Product, Data Science, and Engineering domains. The ideal candidate will be a dynamic individual who is eager to learn and fully engage with the team, going beyond the traditional responsibilities of an Executive Assistant to act as a true Business Partner. This includes attending meetings, taking detailed notes, planning events, and collaborating with a diverse group of EABPs, Program Managers, Product Managers, Data Scientists, Engineers, and other stakeholders throughout the organization. As an Executive Assistant Business Partner, you will partner with Uber's leadership to provide sophisticated administrative and operational support while also contributing to projects that drive business priorities and enhance team collaboration and morale. The role requires a proactive approach to anticipating the needs of the team and resolving complex administrative and operational challenges before they arise. In this role, you will manage complex calendars using Google Calendar, ensuring leaders are well-prepared and punctual for all meetings. You will assist in scheduling multiple stakeholder meetings, contribute to leadership meetings by taking notes and tracking action items, and navigate the complexities of supporting leaders remotely. Additionally, you will be responsible for event planning and coordination for team meetings, summits, and quarterly business reviews (QBRs). You will also handle domestic and international travel arrangements, draft detailed travel itineraries, and provide logistical support, including visa processing. Your role will involve following up on project deadlines, action items, and deliverables, as well as assisting with facility planning logistics and managing team morale budgets.

Responsibilities

  • Manage complex calendars using Google Calendar, vetting and prioritizing meetings.
  • Ensure leaders are prepared and on time for all meetings.
  • Assist with scheduling multiple stakeholder meetings.
  • Contribute to leadership meetings by taking notes and tracking action items.
  • Navigate supporting leaders remotely and manage conference room logistics.
  • Assist with event planning and coordination for team meetings, summits, and QBRs.
  • Make domestic and international travel arrangements and process travel expense reports.
  • Draft detailed travel itineraries and provide logistical support, including visa processing.
  • Follow up on project deadlines, action items, and deliverables.
  • Assist with facility/space planning logistics and team morale budget management.

Requirements

  • Minimum 6+ years of administrative experience.
  • Minimum 8+ years of administrative experience preferred.
  • Minimum 4+ years experience supporting a VP-level leader or a Director-level leader in a global business.
  • Experience with Google Calendar and tech company environments.
  • Excellent communication skills with the ability to build strong relationships with stakeholders.
  • Demonstrated ability to prioritize leaders' calendars and make judgment calls based on shifting priorities.
  • Proven ability to work efficiently in a fast-paced, changing environment.
  • Ability to take initiative and ownership over ambiguous tasks with little oversight.
  • Strong organizational skills and attention to detail.
  • Experience coordinating projects and managing budgets.
  • Ability to work with confidential information in a complex, matrixed global environment.
  • Bachelor's degree or equivalent practical experience.
