About the position

As an Executive Assistant Business Partner II at Uber, you will play a crucial role in supporting the leadership team by providing sophisticated administrative and operational support. This position is designed for individuals who thrive in a fast-paced environment and enjoy anticipating the needs of their team. You will be responsible for managing complex calendars, ensuring that leaders are well-prepared for meetings, and contributing to various projects that drive business priorities and enhance team collaboration and morale. Your role will involve navigating the intricacies of supporting leaders remotely, especially in a complex conference room landscape, and assisting with event planning and coordination for team meetings, summits, and quarterly business reviews (QBRs). In addition to calendar management, you will be tasked with making domestic and international travel arrangements, processing travel expense reports, and drafting detailed travel itineraries. You will also follow up on project deadlines, action items, and deliverables, ensuring that everything runs smoothly. Your responsibilities may extend to facility and space planning logistics, providing feedback on team expense reports, and managing the morale budget for leaders or teams. This position requires a proactive approach, as you will often work on tasks and projects with little oversight, making it essential to take initiative and ownership of your work.

Responsibilities

  • Manage complex calendars using Google Calendar, vetting and prioritizing meetings.
  • Ensure leaders are properly prepared and on time for all meetings.
  • Assist with scheduling multiple stakeholder meetings.
  • Contribute to leadership meetings by taking notes and tracking action items.
  • Navigate the complexities of supporting leaders remotely and managing conference room logistics.
  • Assist with event planning and coordination for team meetings, all-hands meetings, summits, and QBRs.
  • Make domestic and international travel arrangements and process travel expense reports.
  • Draft detailed travel itineraries and provide remote assistance with logistics and travel arrangements.
  • Follow up on project deadlines, action items, and deliverables.
  • Assist with the timely review and submission of expenses.
  • May assist with facility/space planning logistics.
  • Preview and provide feedback on team expense reports and manage leader's morale budget.
  • Work on other tasks and projects as assigned.

Requirements

  • Minimum 6+ years of administrative experience.
  • Minimum 4+ years experience supporting a VP-level leader or a Director-level leader in a global business.
  • Excellent communication skills with the ability to build strong relationships with internal and external stakeholders.
  • Demonstrated ability to prioritize leaders' calendars and make judgment calls based on rapidly shifting priorities.
  • Proven ability to work efficiently and accurately in a fast-paced, often changing environment.
  • Strong organizational skills with attention to detail.
  • Experience coordinating projects and managing budgets.
  • Ability to work with confidential information.
  • Experience working in a complex, matrixed, and global environment.
  • Bachelor's degree or equivalent practical experience.
