The Executive Assistant plays a critical role in managing internal meetings and external industry events. This position is for a multifaceted and hard-working individual who thrives in a fast-paced environment and operates in a proactive, thorough manner. Our ideal candidate has experience supporting C-Suite executives, interacting with various levels of senior leadership (internally and externally), multi-tasking, and who demonstrates exceptional communication skills, planning, problem solving and organizational skills. The title of the officer is confidential at this time. The Executive Assistant executes a broad variety of administrative tasks including acting as a “gate-keeper” by managing an extremely active calendar of appointments. This involves using discretion in identifying critical items, setting up meetings and making scheduling changes with minimal involvement by the executive leadership. The role also arranges complex and detailed travel plans, itineraries and agendas while compiling documents for travel-related meetings. Ensuring the C-Suite Officer is properly prepared and on time for all meetings, project deadlines, and deliverables is essential. The assistant prepares and handles confidential and personnel information with trust & discretion, interfaces appropriately with internal and external clients, and senior executives. The Executive Assistant prioritizes conflicting needs and handles matters expeditiously, proactively, and follows-through on projects to successful completion, often with deadline pressures. They provide a bridge for smooth communication between the office and internal stakeholders, manage a variety of special projects with varying levels of complexity and organizational impact, help to drive culture and engagement in the organization where needed, ensure quality control, proofreading, and editing where necessary, and perform ad hoc administrative work and projects as needed.

Responsibilities

  • Manage an extremely active calendar of appointments for the C-Suite Officer, acting as a gate-keeper.
  • Arrange complex and detailed travel plans, itineraries, and agendas.
  • Compile documents for travel-related meetings and ensure the C-Suite Officer is prepared and on time for all meetings.
  • Handle confidential and personnel information with trust and discretion.
  • Interface appropriately with internal and external clients and senior executives.
  • Prioritize conflicting needs and handle matters expeditiously, proactively following through on projects to successful completion.
  • Provide a bridge for smooth communication between the office and internal stakeholders.
  • Manage a variety of special projects with varying levels of complexity and organizational impact.
  • Help drive culture and engagement in the organization where needed.
  • Ensure quality control, proofreading, and editing where necessary.

Requirements

  • High school diploma required; college degree or some business classes preferred.
  • Administrative experience supporting Executives, Vice Presidents, Directors, and/or Managers.
  • Ability to support and interact with all levels of management.
  • Advanced knowledge of Microsoft Office suite (PowerPoint, Excel, Word, Outlook).
  • Familiarity with business technology including web conferencing, TEAMS, Zoom, eRoom, SAP, Ariba, WorkDay, Concur, Sales Reporting, etc.
  • Excellent organizational, communication, and social skills with keen attention to detail.
  • Ability to exercise initiative, work independently, and proactively follow up.
  • Experience and proficiency working with automated expense tracking and online travel.
  • Ability to anticipate needs and make decisions with minimal direction.
  • Task-oriented with the ability to drive completion of tasks within narrow timelines.
  • Ability to work flexible hours depending on business need.
  • Poised under pressure and flexible to adapt in a fast-paced environment.
