Responsibilities

  • Maintain the schedule process by coordinating and confirming meetings/calls; maintain/update calendar for the executive
  • Receive and screen visitors/incoming calls to determine priority and provide detailed notice with information necessary to accurately execute meetings
  • Coordinate travel arrangements, prepare itineraries, confirm details, finalize agendas and update calendars for the CEO and other Directors as assigned
  • Assist COS with client and company projects, as assigned
  • Assist in management and facilitation of client real estate transactions and endeavors
  • Maintain a high level of working knowledge in Excel and basic accounting and real estate software systems
  • Keep up to date all company policies and procedures
  • Create additional policies and procedures
  • Execute decisions, organize and delegate work to staff
  • Perform various highly sensitive and confidential executive and administrative support tasks as requested
  • Execute ad hoc tasks assigned
  • Communicate with vendors as needed
  • Review time entry and requests for direct reports, as assigned
  • Draft correspondence to clients, vendors, and other stakeholders
  • Collect and file documents from buyers or sellers in real estate transactions
  • Assist in preparing and coordinating documents for real estate transactions
  • Maintain client records and files in an organized manner
  • Track all deadlines and ensure deliverables are met during the buying or selling process for clients
  • Provide clients with superior customer service and assist in problem resolution
  • Process and monitor necessary legal and financial documents
  • Stay updated with real estate laws and industry trends
  • Collaborate with the real estate team to support various administrative tasks, including data entry, filing, and general office management
  • Maintain a high level of understanding of the real estate industry, language and trends
  • Advanced skills in Microsoft Excel
  • Experience using real estate or accounting software systems
  • Project management and execution of any ad hoc tasks assigned by the management

Requirements

  • Ability to reliably commute and report to the Tri Star office
  • BS in Management or relatable degree
  • 7+ years of experience working in the real estate investment or development industries
  • 10+ Years as an Executive Assistant to C-Suite executives
