About the position

The Executive Assistant to the CEO at FORTUNE plays a crucial role in supporting the Chief Executive Officer to ensure that the company's goals and objectives are met while maintaining efficient operations. This position requires a proactive individual who can anticipate the needs of the executive leadership team and drive improvements to enhance their capacity. As part of an agile Executive Assistant team, the individual will collaborate with other EAs to support company events and implement best practices across the organization. The role is based in New York City and operates in a hybrid model, requiring four days in the office each week. The Executive Assistant will perform a variety of administrative duties essential for supporting executives and the ongoing operations of the company. This includes coordinating calendars, scheduling appointments, and ensuring that all parties are informed and aware of schedule changes. The individual will establish and maintain organized systems for managing tasks and multiple calendars, coordinate both domestic and international travel, and handle expense reports and invoice processing. Additionally, the Executive Assistant will coordinate meetings by preparing and distributing agendas, reserving facilities, and recording and transcribing meeting minutes. The role also involves organizing department-wide events and assisting with special projects as assigned. A high level of professionalism is required, especially when dealing with confidential or sensitive issues. The ideal candidate will possess excellent verbal and written communication skills, be proficient in Microsoft Office, Concur, and ADP, and demonstrate versatility and flexibility in a dynamic work culture. Attention to detail, a commitment to excellence, and the ability to work on complex projects with minimal guidance are essential. The Executive Assistant must also be capable of effectively interacting with individuals at all organizational levels, exercising good judgment, and making timely decisions. Creativity, flexibility, and strong organizational, problem-solving, and analytical skills are vital for managing priorities and workflows effectively.

Responsibilities

  • Performs administrative duties required to support executives and ongoing operations.
  • Coordinates calendars and schedules appointments, ensuring all parties are informed of and kept abreast of schedule awareness.
  • Establishes/maintains organized systems for managing tasks and multiple calendars.
  • Coordinates domestic and international travel.
  • Completes expense reports and processes invoices.
  • Coordinates meetings including preparing and distributing agendas and other meeting materials, reserving and preparing facilities, and recording and transcribing/translating meeting minutes.
  • Coordinates and sets up department-wide events.
  • Assists with special projects as assigned.
  • Demonstrates a high level of professionalism in dealing with confidential or sensitive issues.

Requirements

  • Associate's degree or equivalent.
  • 10 or more years relevant experience.
  • Excellent verbal and written communication skills.
  • Proficient in Microsoft Office, Concur, ADP.
  • Versatility, flexibility, and willingness to work in a dynamic culture with enthusiasm.
