About the position

SBM Management is seeking a highly skilled Executive Assistant to support the CEO and play a vital role in the senior executive team. This position is essential for ensuring that the company remains focused on its priorities and goals. The Executive Assistant will be responsible for a variety of tasks that include planning, implementing, managing, and controlling company projects and events. The role requires a proactive individual who can handle complex scheduling and maintain a high level of professionalism and confidentiality. The day-to-day responsibilities of the Executive Assistant will include scheduling and maintaining calendar events, preparing meetings for the executive team, and managing professional scheduling for the CEO and other executives. This includes handling agendas, mail, email, calls, travel arrangements, client management, and other logistical needs. The Executive Assistant will also participate in various executive meetings, providing high-level notetaking and follow-up actions post-meeting. In addition to scheduling, the Executive Assistant will perform administrative and office support tasks, such as creating spreadsheets and maintaining the contacts database. They will be responsible for planning and organizing internal and external programs and events, managing event logistics with both internal partners and external vendors as necessary. The role requires the ability to maintain professionalism and strict confidentiality with all materials, exercising discretion when interfacing with the business. Furthermore, the Executive Assistant will help support and push business priorities forward by keeping a pulse on the CEO's initiatives and performing other duties as assigned.

Responsibilities

  • Schedule, maintain, and update calendar events and prepare meetings for the executive team.
  • Manage professional scheduling for CEO and other executives, including agendas, mail, email, calls, travel arrangements, client management, and other company logistics.
  • Participate in various executive meetings and provide high-level notetaking and follow-up post-meeting.
  • Coordinate complex scheduling, extensive calendar management, and management of content and flow of information between the executive and operational leadership.
  • Perform administrative and office support, such as creating spreadsheets and maintaining the contacts database.
  • Plan and organize internal and external programs and events and manage event logistics with internal partners and external vendors as needed.
  • Maintain professionalism and strict confidentiality with all materials, and exercise discretion when interfacing with the business.
  • Help support and push business priorities forward by keeping a pulse on the CEO's initiatives.
  • Other duties as assigned.

Requirements

  • Bachelor's degree in Business Management or a related field from a four-year college or university.
  • At least 8-10 years of executive administrative experience.
  • Exceptional written, oral, and interpersonal communication skills.
  • Proficiency in MS Office and other office productivity tools, with the aptitude to learn new software systems.
  • Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.
  • Ability to read, analyze, and interpret general business technical procedures manuals to ensure compliance.
  • Ability to add and subtract two-digit numbers and to multiply and divide with 10's and 100's.
  • Ability to understand bar, line, graphs, and pie charts.
  • Solid understanding of statistics.
  • Ability to apply good judgment when carrying out instructions furnished in written, oral, or diagram form.
  • Ability to deal with problems involving changes in standardized procedures and situations.
  • Ability to multi-task in a deadline-driven environment with same-day turnarounds frequently required and where priorities change quickly.
  • Exceptional organizational skills.
  • Flexible team player willing to do what it takes to get the job done; adaptable to high pressure and enjoys a challenge.
