About the position

The Executive Assistant to the CFO and Legal team at Nature's Sunshine Products is a pivotal role that provides high-level administrative support to ensure that the executives can efficiently accomplish critical tasks and company initiatives. This position is responsible for managing Board of Director presentations and other communications, while also providing organizational and clerical support for the Finance and Legal teams as needed. The ideal candidate will maintain high standards of professionalism, efficiency, personal communication, discretion, and independent judgment in all aspects of their work. In this role, the Executive Assistant will provide comprehensive administrative support to the CFO, General Counsel, and CAO. This includes proactively managing meetings, appointments, travel arrangements, and providing assistance as required. The Executive Assistant will develop, coordinate, and manage agendas and action items for executive meetings, ensuring that all necessary materials are prepared and distributed in a timely manner. Additionally, the Executive Assistant will be responsible for managing the collection, organization, and filing of financial and legal records. They will oversee the development, review, editing, and publication of all decks and other communications for the Board of Directors and related committees. This includes making all arrangements for the Company's annual shareholders meeting and coordinating with the Company's transfer agent to mail annual reports, proxy statements, and cards to shareholders. The role also involves preparing paperwork for equity vests for current and former employees and Board of Director members, coordinating payment receipt with outside brokers, and managing wire transfer payments. The Executive Assistant will maintain logs and files of all charges and supporting documentation, as well as manage expense reports to ensure timely reimbursement of approved expenses. The position requires the individual to be physically present in the Company's office in Lehi, Utah, Monday through Friday.

Responsibilities

  • Provides administrative support to the CFO, General Counsel, and CAO and proactively manages meetings, appointments, travel, and assistance.
  • Develops, coordinates, and manages agendas and action items for executive meetings.
  • Manages the collection, organization, and filing of financial and legal records.
  • Responsible for managing the development, review, editing, and publication of all decks and other communication for the Board of Directors and related committees.
  • Makes all arrangements for the Company's annual shareholders meeting and coordinates with the Company's transfer agent to mail annual reports, proxy statements, and cards to shareholders.
  • Prepares paperwork for equity vests for current and former employees and Board of Director members.
  • Coordinates payment receipt with the outside broker(s) and shares disbursement with the transfer agent.
  • Prepares NSP and Synergy wire transfer payments, distributes copies to appropriate personnel, and maintains log and file of all charges and supporting documentation.
  • Manages expense reports and related materials to ensure timely reimbursement of approved expenses.
  • Able to be physically present in the Company's office in Lehi, Utah, Monday-Friday.

Requirements

  • Solid verbal and written communication skills.
  • Strong attention to detail and excellent organizational skills.
  • Strong proficiency with Microsoft Excel, Word, and PowerPoint.
  • Able to multi-task and consistently meet or exceed deadlines.
  • Demonstrated learning approach emphasizing solving problems, anticipating issues, improving efficiency, and adding value.
  • A proactive approach requires minimal supervision, oversight, or direction.
  • Prefer an associate's or bachelor's degree.
  • Strongly prefer five-plus years of progressively responsible Executive Assistant experience, preferably at the corporate level, or an equivalent combination of education and experience.
  • Prefer someone comfortable with numbers and with some financial concepts/principles background.
  • Professional, collaborative, respectful of confidentiality, and a high degree of tact required.

Nice-to-haves

  • Associate's or bachelor's degree preferred.
  • Five-plus years of progressively responsible Executive Assistant experience preferred.
