About the position

Norfolk Southern is seeking a highly skilled and proactive Executive Assistant to support the Chief Financial Officer (CFO). This role is essential for managing the CFO's daily operations and high-level initiatives, requiring exceptional organizational skills and the ability to handle confidential information effectively.

Responsibilities

  • Expertly manage the CFO's calendar, scheduling meetings, appointments, and travel arrangements while efficiently prioritizing and resolving scheduling conflicts.
  • Serve as the primary point of contact between the CFO and internal/external stakeholders, drafting, reviewing, and managing correspondence, including emails, reports, and presentations.
  • Organize and prepare for meetings, including gathering necessary materials, setting agendas, taking minutes, and following up on action items.
  • Coordinate detailed travel plans, itineraries, and logistics for both domestic and international travel.
  • Maintain and organize electronic and physical files, ensuring the CFO has all necessary documents for meetings and engagements.
  • Prepare and process expense reports in a timely and accurate manner.
  • Handle office logistics, such as ordering supplies, managing vendor relationships, and overseeing maintenance of office equipment.
  • Facilitate effective communication within the executive leadership team, ensuring alignment and clarity on priorities and deliverables.
  • Plan and coordinate executive events, offsites, and meetings with key stakeholders.

Requirements

  • Bachelor's degree in Business Administration, Communications, or a related field preferred.
  • Minimum of 5 years of administrative support experience, or in a similar role, preferably supporting senior-level executives.
  • Experience with project management is a plus.
  • Exceptional organizational and time-management skills.
  • Strong written and verbal communication abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Ability to handle sensitive information with discretion.
  • Strong interpersonal skills and the ability to build relationships at all levels of the organization.
  • Proactive problem-solving skills and the ability to work independently.
