About the position

Socure is seeking an Executive Assistant to provide comprehensive support to key leaders within the Finance & Operations (FinOps) Center of Excellence (COE), including the Chief Financial Officer (CFO). This role is pivotal for individuals who thrive as strategic partners and trusted confidants, demonstrating exceptional problem-solving abilities. The Executive Assistant will report directly to the CFO and is expected to be self-motivated, action-oriented, and possess a keen attention to detail. The position requires a proactive approach to managing tasks and responsibilities, ensuring that the executives can focus on their strategic objectives without being bogged down by administrative details. The Executive Assistant will be responsible for scheduling, planning, and managing logistics for both internal and external meetings. This includes preparing necessary materials, setting up web conferencing, and coordinating catering services as needed. Acting as a liaison between executives and team members, the Executive Assistant will foster open communication and ensure seamless collaboration across the organization. Building and maintaining strong relationships with internal and external stakeholders is crucial for supporting executive-level communication and collaboration. In addition to managing calendars and scheduling meetings, the Executive Assistant will handle expense processing, personal bills, and wire payments. They will also be responsible for organizing business travel arrangements, ensuring that all aspects of travel are well-planned and executed. The role includes arranging offsite events and logistics, managing approval forms, budgets, and travel arrangements, as well as ideating on creative thank you gifts and customer outings. The Executive Assistant will also coordinate tax, legal, and financial matters, providing administrative support on special projects as needed.

Responsibilities

  • Scheduling, planning, and running logistics for internal/external meetings, including preparing materials and setting up web conferencing.
  • Acting as a liaison between executives and other team members to foster open communication and ensure seamless collaboration.
  • Developing and maintaining strong relationships with internal and external stakeholders to support executive-level communication.
  • Organizing and processing expenses, personal bills, and wire payments.
  • Managing the executive's calendars, scheduling and prioritizing meetings, and resolving scheduling conflicts.
  • Managing business travel arrangements and itineraries for executives, ensuring all aspects of travel are well-planned and executed.
  • Arranging offsites and logistics across the FinOps COE, including approval forms, budgets, and event planning.
  • Ideating on creative thank you gifts/notes, anniversaries, and customer outings.
  • Coordinating tax, legal, and financial-related matters.
  • Offering administrative support on special projects as needed.

Requirements

  • 2-4 years experience providing direct executive support.
  • Devoted attention to detail and appreciation for the quality of work.
  • Strong skills in GSuite, MS Excel, Word, and PowerPoint.
  • Exemplary project management, time management, and follow-up skills.
  • Strategic thinking and business acumen to understand leaders' goals and align support accordingly.
  • Proactive approach to problem-solving and strong decision-making skills.
  • Exceptional verbal and written communication skills.
  • Executive presence, advanced organizational skills, and cultural awareness.
  • High level of discretion and confidentiality on all business matters.
  • Ability to work under pressure, adapt, and handle last-minute requests.
