The Executive Assistant to the Chief Academic Officer (CAO) plays a crucial role in supporting the CAO in overseeing all academic programming design and development across all IDEA schools. This includes core academics, Career & Technical Education, Special Programs, Program Innovation, PE, Assessment, and Camp Rio. The Executive Assistant is responsible for managing calendaring logistics, planning, and execution of team meetings and events, ensuring they are conducted with a strong vision and contribute to a high-quality experience. Additionally, the Executive Assistant will manage travel arrangements for the CAO and the Chief of Staff, ensuring all logistics are handled efficiently. In this role, the Executive Assistant will outline and follow the month-end reconciliation process with leaders, ensuring that all purchase card transactions are adequately described and appropriately coded. They will monitor reimbursements, request missing receipts, and submit all necessary documentation to the business office in a timely manner. The Executive Assistant will also plan team meeting events, manage project plans, and maintain relationships with hotels, vendors, and internal stakeholders to meet established timelines. Communication around events will be managed in partnership with others on the planning committee. The Executive Assistant will monitor the CAO's email, draft initial communications, take notes during meetings, and ensure that all assigned tasks are completed by their deadlines. They will prioritize conflicting needs, handle matters expeditiously, and follow through on projects to successful completion, often under deadline pressures. This position requires a proactive approach to managing the many small, yet important, details necessary for daily execution, ensuring that the CAO's time is conserved as much as possible. The Executive Assistant will also support the Chief of Staff's key initiatives and projects through timely task completion, providing actionable feedback to partners and being open to receiving feedback in return.
