About the position

The Hershey Executive Committee (EC) is seeking a dynamic and assertive Executive Assistant to support the Chief Development Officer. This role is designed for a skilled professional who will take ownership of various outcomes while collaborating closely with the EC team. The position is hybrid, allowing for remote work on Mondays and Fridays, with in-office collaboration required from Tuesday to Thursday. Flexibility in scheduling is encouraged with prior communication to the leader. As an Executive Assistant, you will be responsible for planning and executing connections and meetings among a diverse range of stakeholders both within and outside of Hershey. Maximizing the effectiveness of these interactions is a fundamental aspect of your role. You will also develop content for strategic initiatives, projects, board meetings, and other critical deliverables, ensuring that the information resonates with its intended audience. This includes creating Board presentations, which may require significant time investment, including late nights or weekends, and demand strong creative thinking and visualization skills. Your role will involve enabling EC members to function as an effective team by collaborating with leaders, other members of the EC support team, and external partners. You will prepare the EC member for various commitments, including internal townhalls, team meetings, and Global Management Business Reviews (GMBR). The EC operates on a structured business cycle, meeting weekly to discuss critical work aimed at delivering long-term value creation commitments. In addition to these responsibilities, you will serve as the first-level point of contact for the EC member, managing their calendar, travel, and all forms of communication. You will act on behalf of your EC teammate and the broader EC, requiring strong people skills and the ability to facilitate functional and unit team meetings. Your role will also involve energizing teams by providing autonomy and clarity, helping your EC member become a better leader who connects with and inspires others.

Responsibilities

  • Planning and executing connections and meet ups among various stakeholders.
  • Developing content for strategy, projects, board meetings, and other critical deliverables.
  • Enabling EC members to be effective by collaborating with leaders and external partners.
  • Preparing the EC member for commitments such as townhalls and team meetings.
  • Acting as the first-level point of contact for the EC member, managing calendar and travel.
  • Facilitating functional and unit team meetings.
  • Encouraging open communication and engagement among team members.

Requirements

  • Minimum of 2 years specialized, C-Suite Professional Administrative Training.
  • CPS or AA designations are preferred.
  • Bachelor's degree is preferred.
  • Minimum 2 years of administrative assistant experience at The Hershey Company or a minimum of 10 years progressive administrative experience.
  • High proficiency with Microsoft Office Suite, especially PowerPoint and Excel.
  • Strong commercial acumen or willingness to learn about business operations.
  • Excellent organizational skills and attention to detail.
  • Strong interpersonal communication skills, including active listening and questioning.
  • Ability to handle stressful situations in a rapidly changing environment.
  • High level of confidence in managing confidential information.
  • Ability to juggle multiple priorities in a calm and professional manner.
