The Colt Balok Company is seeking a dynamic Executive Assistant/Chief of Staff to support our fast-paced environment. In this role, you will act as the point of contact among executives, employees, clients, and external partners. You will manage the flow of information, ensuring that communication is timely and accurate. Your responsibilities will include managing executives' calendars, setting up meetings, and making travel arrangements. You will also be responsible for tracking daily expenses and preparing reports, as well as maintaining office supplies and organizing the office filing system. This position is ideal for someone who thrives in a fast-paced environment and is eager to take on new challenges while supporting the overall mission of The Colt Balok Company.

Responsibilities

  • Act as the point of contact among executives, employees, clients, and other external partners
  • Manage information flow in a timely and accurate manner
  • Manage executives' calendars and set up meetings
  • Make travel and accommodation arrangements
  • Rack daily expenses and prepare weekly, monthly, or quarterly reports
  • Act as an office manager by keeping up with office supply inventory
  • Format information for internal and external communication - memos, emails, presentations, reports
  • Take minutes during meetings
  • Screen and direct phone calls and distribute correspondence
  • Organize and maintain the office filing system

Requirements

  • Ability to solve creative, organizational, or communications problems proactively
  • Strong knowledge of Microsoft Office and Google Apps
  • Excellent communication skills
  • Ready to be a part of a fast-paced team while needing to work well independently
