About the position

The Executive Assistant/Chief of Staff at The Sanford Firm is a pivotal role designed to provide high-level administrative support to the Managing Attorneys. This position is essential for ensuring smooth daily operations within a fast-paced employment law firm. The ideal candidate will be organized, proactive, and professional, acting as a gatekeeper and managing multiple tasks efficiently while maintaining a high level of discretion and confidentiality.

Responsibilities

  • Manage the Managing Attorney's calendar, scheduling meetings, conferences, and travel arrangements.
  • Act as the primary point of contact between the Managing Attorney and internal/external parties.
  • Prepare and organize documents for meetings, including agendas, minutes, and follow-up items.
  • Compile data and create reports as requested.
  • Handle confidential information with the utmost discretion.
  • Assist in managing client relationships and communications on behalf of the Managing Attorney.
  • Coordinate office operations and administrative support activities, ensuring smooth daily operations.
  • Draft correspondence and memos as needed.
  • Monitor and prioritize emails, phone calls, and other forms of communication.
  • Assist in organizing firm-wide events, client meetings, and team-building activities.
  • Oversee special projects and assignments from start to completion.
  • Possible minimal accounting responsibilities; however, no accounting background required.

Requirements

  • Bachelor's degree in business administration or a related field (preferred but not required).
  • Minimum of 3-5 years of experience as an Executive Assistant, preferably in a legal environment.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with a keen attention to detail.
  • Ability to manage multiple projects simultaneously and meet deadlines.
  • High level of professionalism and ability to maintain confidentiality.
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Familiarity with legal terminology and procedures is a plus.
  • Familiarity with financial operations is a plus.
  • Problem-solving mindset and ability to work independently.
