About the position

The Executive Assistant at Hackensack Meridian Health plays a crucial role in supporting the leadership team by managing administrative tasks, enhancing efficiency, and ensuring effective communication within the organization. This position requires a proactive individual who can work independently, demonstrating high levels of discretion and business acumen in a fast-paced environment. The Executive Assistant is responsible for managing calendars, correspondence, and travel arrangements, while also acting as a liaison between executives and various stakeholders.

Responsibilities

  • Manage calendar and schedule for leadership, aligning with key priorities.
  • Apply time management principles to enhance leaders' effectiveness.
  • Review calendar and activities with leaders as appropriate.
  • Manage mail and email, prioritizing relevant correspondence.
  • Research and follow up on incoming messages and issues addressed to the leader.
  • Act as a liaison between the executive and various parties.
  • Screen and field phone calls, resolving inquiries as appropriate.
  • Conserve executive's time by drafting correspondence and collecting information.
  • Utilize advanced Microsoft Office skills to prepare professional documents.
  • Proofread work for accuracy and coordinate changes as needed.
  • Ensure the executive is well-informed with necessary documentation and analyses.
  • Attend meetings, take minutes, and follow up on action plans.
  • Arrange meetings, trainings, and special events with minimal direction.
  • Execute travel arrangements including accommodations and itineraries.
  • Represent the executive internally and externally, enhancing guest relations.
  • Build productive cross-functional relationships across the organization.
  • Act as leader's proxy or project manager as assigned.
  • Lead functional/work projects, including budget preparation and tracking.
  • Train new administrative assistants and delegate tasks as needed.
  • Measure and improve processes and services within the department.

Requirements

  • High School diploma or GED required.
  • Minimum of 10 years of experience in a related field.
  • Minimum of 2 years working for top-level executives.
  • Proficient in Microsoft Office Applications (Outlook, Excel, PowerPoint).
  • Exceptional oral and written communication skills.
  • Strong problem-solving skills and organizational skills with attention to detail.
  • Ability to prioritize and work independently on various tasks.
  • Ability to take initiative and handle stressful situations.

Nice-to-haves

  • Associate's or Bachelor's degree preferred.
