About the position

The Executive Assistant at Phoenix Property Management, Inc. plays a crucial role in providing high-level support to the Principals of the organization. This position requires a highly organized and proactive individual capable of managing a variety of executive and personal tasks with professionalism, efficiency, and confidentiality. The Executive Assistant will be responsible for coordinating schedules, preparing reports, and facilitating communication between the Principals and stakeholders, while also assisting with special projects and events.

Responsibilities

  • Provide high-level executive support to the Principals, including managing calendars, scheduling meetings, and coordinating travel arrangements.
  • Prepare reports, presentations, and documents for meetings, ensuring all materials are accurate and professionally presented.
  • Act as a liaison between the Principals and internal/external stakeholders, ensuring effective communication and timely responses.
  • Assist with special projects including research, event planning, and project management.
  • Track and follow up on various tasks and projects, ensuring timely completion and reporting any delays or issues.
  • Organize and coordinate meetings and special events, including scheduling, logistics, and agenda preparation.
  • Handle sensitive information with the utmost confidentiality and discretion.
  • Maintain a high level of professionalism in all interactions, both internal and external.

Requirements

  • Proven 5+ years of experience as an Executive Assistant
  • Strong organizational and time-management skills with the ability to prioritize tasks and work independently
  • Excellent communication and interpersonal skills
  • Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
  • Ability to handle confidential information with discretion and integrity
  • Flexibility and adaptability to changing priorities and demands
