About the position

The Executive Assistant at the Naval Nuclear Laboratory plays a crucial role in providing comprehensive administrative support to an executive manager and their teams. This position goes beyond the traditional duties of an Administrative Assistant, as it includes training and mentoring other Administrative Assistants within the directorate or department. The Executive Assistant will collaborate with peers from other departments to ensure consistency and efficiency in administrative processes, while also handling sensitive business and personal information with discretion. In this role, the Executive Assistant will be responsible for creating, communicating, and enforcing office procedures and templates for both written and electronic communications. They will screen telephone calls, resolve a wide variety of inquiries, and identify significant items that require the department's attention or action. Additionally, the Executive Assistant will lead various projects, administrative programs, and processes, serving as a liaison with others both within and outside of the Naval Nuclear Laboratory. Building and maintaining relationships with peers and managers across all company locations is essential to ensure that the goals of the Naval Nuclear Laboratory are met effectively. The position may also involve other responsibilities as assigned, making it a dynamic role that requires adaptability and a proactive approach to problem-solving. Responsibilities

  • Provides administrative support to an executive manager and their teams.
  • Trains and mentors Administrative Assistants within the directorate/department.
  • Collaborates with Executive Assistants from other departments to ensure consistency and efficiency of administrative processes.
  • Handles Business Sensitive and Personal & Private information.
  • Creates, communicates, and enforces office procedures/templates for written and electronic communications.
  • Screens telephone calls and resolves a wide variety of inquiries.
  • Identifies significant items for department attention or action.
  • Leads projects, administrative programs, and processes.
  • Serves as administrative liaison with others within and outside of NNL.
  • Develops relationships with peers and managers at all company locations to ensure NNL goals are met.
  • Performs other responsibilities as assigned.

Requirements

  • High school diploma or equivalent and a minimum of 10 years of relevant experience; or
  • Associate's degree from an accredited college or university in a related field and a minimum of 6 years of relevant experience; or
  • Bachelor's degree from an accredited college or university in a related field and a minimum of 4 years of relevant experience.
