About the position

We are seeking a talented and reliable Executive Assistant to support the Senior Vice President of the Diversified Business Group. In this critical role, you will perform advanced administrative duties for the Executive and assist, coordinate, and lead special projects in support of the Executive and the division. Responsibilities include standard administrative duties, such as managing calendars, coordinating travel arrangements, scheduling meetings, time prioritization and availability, VIP guest coordination, and fostering critical internal and external relationships. In this role, you will manage the Executive's workflow including mail, correspondence, telephone calls, and expense reports, determining priorities, preparing responses, and/or responding appropriately without errors and in a timely manner. You will also manage the Executive's calendar, including making travel arrangements, and prepare reports, presentations or recommendations in an accurate, complete and timely manner. Additionally, you will collect and prepare complete and accurate information for the Executive's use in discussions and/or meetings with other executive staff and outside individuals in a timely manner. You will provide assistance to relevant leaders in the administration and coordination of projects or programs, supporting leadership and project/program participants in the development, administration, implementation and closure of the project/program. Creating and maintaining filing system(s) for the purpose of storing and retrieving documents efficiently (electronically and paper) will also be part of your responsibilities. You may serve as point person for IT Security access requests, Move Coordinator for departmental moves, and Contract Coordinator by assisting in the creation of purchase orders, initiation of contract requests and management of the end-to-end process. Communication with the Board of Trustees as needed and requesting and maintaining office supplies and equipment will also be part of your duties.

  • Plan, coordinate and support meetings and special events for division.

  • Communicate with the Board of Trustees as needed.
  • Request and maintain office supplies and equipment.

Requirements

  • Bachelor's degree or advanced degree (where required)
  • 0-2 years of experience in related field
  • In lieu of degree, 3+ years of experience in related field.
