About the position

The Executive Assistant at Optum will provide high-level administrative support to the Consumer CEO, ensuring efficient management of schedules, communications, and logistics. This role is crucial for maintaining effective relationships within the organization and requires exceptional organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced environment. Responsibilities

  • Provide day-to-day administrative support with attention to detail and sound judgement.
  • Effectively communicate with C-suite executives and their assistants, building effective relationships.
  • Manage the executive's calendar and meeting scheduling, prioritizing conflicts effectively.
  • Act as a workflow manager to ensure deliverables and deadlines are met.
  • Proactively reach out to colleagues for necessary information and materials.
  • Plan onsite and offsite meetings, managing logistics including schedules, technology requirements, and catering.
  • Monitor mail and email, identifying urgent requests.
  • Handle sensitive and confidential information with discretion.
  • Answer incoming requests for information and build a knowledge base.
  • Maintain a high level of organization and attention to detail.
  • Work independently, take initiative, and problem-solve proactively.
  • Coordinate domestic and international travel, prepare itineraries, and process expense reports.
  • Create a welcoming environment for guests and employees.
  • Assist in addressing general policy and procedure issues.
  • Contribute to ad-hoc projects as needed.
  • Provide occasional support to other members of the executive team.

Requirements

  • High school diploma or GED.
  • 5+ years of experience as an administrative professional supporting C-Suite level executives.
  • Experience managing multiple tasks/calendars for leadership, travel arrangements, meetings, and confidential information.
  • 5+ years of experience with Microsoft suite of applications (Outlook, Word, Excel, PowerPoint, Teams).
  • Experience collaborating with peers and colleagues in a team environment.
