About the position

The Orange County Department of Education (OCDE) is seeking a dedicated and skilled Executive Assistant to support the Educational Services Division. This role is pivotal in providing comprehensive administrative support to the director(s) within the division and the Chief Academic Officer. The Executive Assistant will be responsible for managing the administrative operations of the executive's office, which includes a variety of clerical, office support, and record management duties. The selected candidate will play a crucial role in ensuring that all documentation is meticulously organized and accessible, thereby facilitating the smooth operation of the office. In this dynamic position, the Executive Assistant will coordinate, arrange, and confirm meetings, conferences, and appointments, ensuring that all logistical details are handled efficiently. The role also involves planning and coordinating staff meetings, retreats, academic events, and other division events, which includes securing locations and making necessary arrangements. Additionally, the Executive Assistant will handle travel arrangements and confirmations, compose correspondence, memos, reports, and requisitions, and transcribe meetings as required. The successful candidate will need to manage evolving priorities in a high-profile political and organizational setting, demonstrating the ability to adapt to changing circumstances while maintaining a high level of professionalism and confidentiality. This position requires a proactive approach to daily operations and administrative tasks, ensuring that the office of the Chief Academic Officer runs smoothly and effectively.

Responsibilities

  • Coordinate, arrange, and confirm meetings, conferences, and appointments.
  • Plan and coordinate staff meetings, retreats, academic events, and other division events, including securing locations and making necessary arrangements.
  • Handle travel arrangements and confirmations.
  • Compose correspondence, memos, reports, and requisitions. Transcribe meetings as required.
  • Plan, coordinate, and efficiently execute daily operations and administrative tasks within the office of the Chief Academic Officer.

Requirements

  • High school diploma or high school equivalency test.
  • Five (5) years of increasingly responsible office administrative or secretarial experience.
