About the position

The Executive Assistant (Executive Support Specialist 2) position at the Oregon Employment Department is designed for individuals who possess exceptional customer service skills and thrive in a fast-paced environment with competing priorities. This role is pivotal in providing executive-level and confidential administrative support to the Chief Information Officer (CIO) and Deputy CIO. The Executive Assistant will interpret and apply policies and procedures to support non-routine and highly sensitive personnel matters, ensuring that all communications, both internal and external, are handled with professionalism and discretion. In this role, the Executive Assistant will engage in significant administrative office work, which includes managing correspondence, creating spreadsheets, preparing presentations, and scheduling meetings. Responsibilities

  • Provide executive-level and confidential administrative support to the CIO and Deputy CIO.
  • Perform, coordinate, and oversee technical and administrative duties related to change management and process improvement.
  • Interpret and apply policies and procedures to support sensitive personnel matters.
  • Coordinate internal and external communications effectively.
  • Manage detailed administrative tasks including correspondence, spreadsheets, presentations, and scheduling.
  • Exercise independent judgment to solve problems and prioritize tasks.
  • Maintain a high level of professional courtesy and customer service interface.

Requirements

  • One year of experience performing administrative duties in support of agency projects or programs.
  • Experience in data collection and analysis, project evaluation, or similar administrative functions.
  • Strong communication skills, both verbal and written.
  • Proficiency in Microsoft Office Suite, including Excel, Word, PowerPoint, Outlook, Teams, and OneNote.
  • Excellent organizational skills and attention to detail.
  • Ability to manage time effectively and prioritize workload.
