The Executive Administrative Assistant will play a crucial role in supporting the CEO/President and the Executive Team in a high-profile and high-visibility capacity. This position is essential for managing multiple complicated, confidential, and time-sensitive projects, ensuring that the executive leadership can focus on strategic initiatives. The ideal candidate will be responsible for high-level administrative support, which includes conducting research, preparing statistical reports, and handling various information requests. The role also encompasses performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings. In this position, the Executive Administrative Assistant will prepare routine and advanced correspondences, including letters, memoranda, and reports. The assistant will also manage outgoing mail, emails, and faxes, ensuring that all communications are handled efficiently. Organizing and maintaining file systems is another critical responsibility, as is filing correspondence and other records. The assistant will coordinate the CEO/President's schedule, manage appointments, and arrange travel schedules and reservations for the Executive Team. Additionally, the role requires answering and screening the CEO/President's telephone calls, arranging conference calls, and providing information to callers. The assistant will greet scheduled visitors and conduct them to the appropriate area or employee. This position demands a wide degree of creativity, flexibility, and excellent interpersonal skills, along with project coordination experience. The ability to work well with management, staff, and outside clients is essential. The Executive Administrative Assistant will also produce presentations for the Monthly Company Meeting and set up meetings for the entire company. Other duties may be assigned as necessary.
