About the position

Fredrikson & Byron is seeking an Executive Assistant to support the leadership team within the Finance Department. This role is pivotal in ensuring the smooth operation of administrative tasks, financial data entry, and periodic review processes. The ideal candidate will possess a keen eye for detail, a passion for teamwork, and a commitment to maintaining high standards in a supportive and professional environment. The Executive Assistant will be responsible for a variety of tasks that are essential to the functioning of the Finance Department, including managing communications, scheduling meetings, and coordinating events. In this role, the Executive Assistant will perform essential administrative duties such as typing, drafting letters and memos, creating presentations, and managing phone communications. The position requires scheduling both internal and external meetings, accommodating all parties involved, and coordinating special department events. The Executive Assistant will also handle expense submissions and vendor invoices electronically, ensuring timely payments and maintaining budget tracking spreadsheets. Additionally, the role involves setting up new timekeepers in the system, managing data entry tasks, and participating in software training to enhance skills. The Executive Assistant will be an integral part of the Finance team, contributing to a results-driven and client-oriented environment. The position demands exceptional organizational abilities, attention to detail, and the capacity to manage multiple priorities effectively. The candidate should be self-motivated, willing to learn new systems, and possess a creative approach to problem-solving. Responsibilities

  • Performs required administrative duties including typing, drafting letters and memos, drafting presentations, answering telephones, initiating calls, opening mail, triaging, and filing emails and other documents, and coordinating meetings.
  • Schedules internal and external meetings to accommodate all parties involved (e.g., in-person, Microsoft Teams, Zoom or teleconference).
  • Coordinates special department events.
  • Submits expenses and vendor invoices electronically in Chrome River for timely payment.
  • Updates the budget tracking spreadsheet with details.
  • Assists with business travel including, but not limited to, conference registration, hotel and flight registrations and other related accommodations.
  • Sets up new timekeepers and corresponding matters in the system, Business Intake forms, Weekly and monthly soft cost entry (postage, Westlaw, E-Discover, etc) into the system and other data entry/correction duties.
  • Consistently updates existing timekeepers' department/division/terminations so the data is correct in the system and flows to our other systems smoothly.
  • Fills out supplier/vendor set up forms.
  • Researches return mail and makes appropriate changes.
  • Consistently participates in software and other training to enhance skill set.

Requirements

  • 3-6 years of relevant work experience
  • Advanced technical skills in Microsoft Suite (Outlook, Excel, PowerPoint)
