About the position

A private investment management firm is seeking to hire a highly organized, professional, and detail-oriented Executive Assistant to primarily support the firm's CEO, along with three other executives. The ideal candidate will possess former C-Suite experience in the financial industry, demonstrating the ability and mindset to anticipate the team's needs and run interference when necessary. This role requires a 24/7 mentality, understanding that assistance may be needed outside of regular business hours, particularly when the principals are traveling. The firm employs a global multi-strategy investment approach, aiming to deliver compelling asymmetric returns by combining complementary liquid strategies managed by experienced investment professionals within a robust risk framework. The firm prides itself on bringing together an accomplished team with hands-on experience running multi-manager businesses to create an institutional investment management firm.

Responsibilities

  • Coordinate and manage complex calendars, serving as the primary point of contact and adjusting schedules based on business and personal priorities.
  • Arrange all aspects of domestic and international travel, including securing visas, flights, hotels, and creating detailed itineraries.
  • Process and track expense reports, reconcile credit card statements, and maintain accurate records according to T&E policy best practices.
  • Coordinate prospective and existing investor calls and onsite meetings with key personnel across the organization.
  • Provide administrative backup to the administrative assistant team as needed.
  • Assist with ad-hoc projects as assigned and run errands as needed.

Requirements

  • 5-8 years of experience as an Executive Assistant or in a similar Senior Administrative role within finance is preferred.
  • Completed bachelor's degree.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Ability to handle sensitive and confidential information with discretion.
  • Excellent verbal and written communication skills.
  • Experience with processing expenses through Concur.
  • Experience with domestic and international travel arrangements.
  • Excellent references from both current and previous employers.
  • Strong communication skills, both written and verbal.
  • Professional mindset and the utmost discretion.
  • Ability to work independently and as part of a team.
  • Detail-oriented with exceptional organizational skills.
  • Flexibility with hours and schedule, especially being able to work in a different time zone if the principal is traveling abroad.
  • 24/7 mentality.
  • Valid US work authorization.
