About the position

We are seeking a highly organized and proactive Executive Assistant to support our executive team. The ideal candidate will possess exceptional communication skills and a strong ability to manage multiple tasks efficiently. This role requires a detail-oriented individual who can maintain professionalism in a fast-paced environment while ensuring the smooth operation of our office.

Responsibilities

  • Provide comprehensive administrative support to executives, including managing schedules, coordinating meetings, and preparing necessary documentation.
  • Handle incoming calls and manage phone systems with professionalism and excellent phone etiquette.
  • Maintain organized filing systems for both physical and digital documents, ensuring easy retrieval of information.
  • Perform data entry tasks accurately and efficiently, utilizing computer literacy skills across various software applications.
  • Assist with financial record keeping using QuickBooks, ensuring accuracy in transactions and reports.
  • Manage front desk operations, greeting visitors and directing them appropriately while maintaining a welcoming environment.
  • Utilize DocuSign for document management and electronic signatures, streamlining processes for efficiency.
  • Collaborate with team members to ensure all administrative tasks are completed in a timely manner.

Requirements

  • Proven experience as an Executive Assistant or in other administrative roles is preferred.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficient in computer literacy, including Microsoft Office Suite and other relevant software applications.
  • Familiarity with QuickBooks and DocuSign is a plus but not mandatory.
  • Excellent verbal and written communication skills are essential for effective interaction with team members and clients.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • A proactive approach to problem-solving with strong decision-making capabilities.

Nice-to-haves

  • Familiarity with QuickBooks and DocuSign is a plus but not mandatory.
