About the position

The Executive Assistant for Senior Leadership provides comprehensive administrative support to the Vice Chancellor and Assistant Vice Chancellor of the Office of Public Safety and Emergency Management at the University of Pittsburgh. This role is essential for ensuring the smooth operation of the office by managing schedules, correspondence, financial reports, and event planning, while maintaining a high level of confidentiality and professionalism.

Responsibilities

  • Provide general administrative support to the Vice Chancellor and Assistant Vice Chancellor.
  • Organize and maintain calendars, schedule meetings, and prepare travel arrangements.
  • Draft, edit, and distribute meeting notes, correspondence, memos, and reports.
  • Prepare, monitor, and reconcile cash reports, disbursement requests, and budget reports.
  • Plan and manage events hosted by PSEM, including securing event space and coordinating catering.
  • Greet visitors, answer phones, and direct inquiries appropriately.
  • Perform special projects and other duties as assigned.

Requirements

  • Associate's Degree required.
  • Minimum of 5 years of experience in a professional administrative capacity in a fast-paced environment.
  • Strong oral and written communication skills.
  • Advanced working knowledge of the Microsoft Office Suite.
  • Ability to exercise independent judgment and maintain confidentiality.

Nice-to-haves

  • Experience in event planning and management.
  • Familiarity with financial reporting and budget reconciliation.
