About the position

The Executive Assistant for Senior Leadership at the University of Pittsburgh provides comprehensive administrative support to the Vice Chancellor and Assistant Vice Chancellor of the Office of Public Safety and Emergency Management (PSEM). This role involves managing a variety of complex office functions, including scheduling, correspondence, financial reporting, and event planning, while ensuring confidentiality and accuracy in all tasks.

Responsibilities

  • Provide general administrative support to the Vice Chancellor and Assistant Vice Chancellor.
  • Organize and maintain calendars, schedule meetings, and prepare travel arrangements.
  • Draft, edit, and distribute meeting notes, correspondence, memos, and reports.
  • Prepare, monitor, and reconcile disbursement requests and budget reports.
  • Manage office equipment and maintain a supplies inventory.
  • Plan and manage events hosted by PSEM, including securing event space and coordinating catering.
  • Serve as the first point of contact for visitors and manage incoming calls and inquiries.
  • Perform special projects and other duties as assigned.

Requirements

  • Associate's Degree required.
  • Minimum of 5 years of relevant experience required.
  • Advanced working knowledge of the Microsoft Office suite is required.
  • Ability to exercise independent judgment and maintain confidentiality.

Nice-to-haves

  • Experience in event planning and management.
  • Familiarity with financial reporting and budget reconciliation.
