About the position

The position is for an assistant at a professional tax preparation and accounting firm, focusing on client management and administrative support. The role involves being the first point of contact for clients, handling inquiries, onboarding clients to a new client portal, and managing billing matters. The assistant will work closely with accountants and professional staff, especially during the busy tax season from January to April, after which the role can transition to a hybrid model.

Responsibilities

  • Answer all incoming phone calls and provide information on services to new clients.
  • Route calls to other staff as necessary.
  • Assist with transferring client records and communications to the new client portal.
  • Onboard clients to the new portal.
  • Issue invoices and receive payments using the new client portal.
  • Respond to email, website, and social media inquiries.
  • Close leads on the phone.

Requirements

  • Experience in an office administrative role, preferably in the tax/accounting industry.
  • Familiarity with industry terminology (W2, 1040, S Corp, Balance Sheet, etc.).
  • Proficiency in Google Workspace, including Gmail, Google Drive, and Google Calendar.
  • Knowledge of Office applications (Word, Excel, etc.).
  • Strong communication skills and professionalism with clients.
  • A positive attitude and willingness to learn.

Nice-to-haves

  • Experience with Tax Dome or similar client management systems.
  • Previous experience in a client-facing role.
