About the position

The Executive Assistant (EA) for the Chief Sustainability Officer (CSO) at HP plays a crucial role in providing advanced tactical and strategic administrative support to upper-level executives. This position is integral to HP's Sustainable Impact and Compliance (SI&C) team, ensuring that the CSO can effectively lead the organization by managing complex schedules, coordinating travel, and handling sensitive information with discretion. The EA will also contribute to the development of reports and presentations, while fostering a collaborative environment within the executive team.

Responsibilities

  • Partner with the CSO and Chief of Staff to create a seamless working environment for the team.
  • Manage professional and personal scheduling for the CSO, including agendas, mail, email, phone calls, and client management.
  • Keep the CSO informed of upcoming commitments and responsibilities, following up appropriately.
  • Anticipate CSO needs in advance of meetings and conferences, including collection and review of briefing documents.
  • Complete a broad variety of administrative tasks that facilitate the CSO's ability to lead the organization effectively.
  • Schedule domestic and international travel for the CSO, including obtaining required visas and submitting travel expenses.
  • Coordinate site visit logistics, including agenda planning and event logistics for employee engagement activities.
  • Set up logistics and send out communications for virtual and/or in-person meetings, including creating agendas and managing catering needs.
  • Drive operational efficiencies through the development of repeatable processes and utilization of productivity tools.
  • Act as the delegate for the senior executive in specific company systems including HR and procurement systems.
  • Maintain updated org charts and distribution lists for senior executives and the entire organization.
  • Assist the CSO in the development of presentations for internal and external audiences.
  • Distribute reminder emails for upcoming actions and assist with onboarding new employees/interns.

Requirements

  • High School Diploma or equivalent, with 8+ years of related work experience in senior administrative support or a related field.
  • Strong written and verbal communication skills.
  • Proven organizational and time management skills, with the ability to manage multiple projects and deadlines.
  • Expert knowledge in HP systems and processes for managing expenses, procurement, and travel.
  • Proficiency in Microsoft Office suite and collaboration programs like Zoom and Teams.

Nice-to-haves

  • Certifications in advanced general administrative skills.
  • Ability to design and edit graphic presentations using PowerPoint and Adobe.
  • Strong interpersonal skills with a calm, professional demeanor.
