About the position

The Executive Assistant to the VP for Enrollment Management plays a crucial role in managing the daily administrative functions of the Office of Enrollment Management. This position involves providing comprehensive administrative support to the VP and other offices within the division, ensuring efficient operations and effective communication.

Responsibilities

  • Responsible for the administrative support of the Office of Enrollment Management.
  • Execute duties associated with scheduling meetings for the VP and other university committees, including maintaining the VP's calendar and preparing meeting handouts.
  • Maintain accurate departmental financial records, including budget review and processing of revenues and expenses.
  • Inventory, order, and coordinate repairs for necessary materials and supplies for the Office of Enrollment Management.
  • Draft correspondence, reports, proposals, and other documents, ensuring typographical accuracy.
  • File departmental records and maintain confidentiality of all records.
  • Maintain departmental contact information, including emergency contacts and procedures.
  • Assist in preparing, sorting, and distributing mail for the Office of Enrollment Management and other offices.
  • Manage events and meetings held by the Office of Enrollment Management, including committee meetings and staff engagement events.
  • Maintain meeting minutes and assist in coordinating and tracking project tasks.
  • Provide communications to prospective employees, including setting up files, arranging interview schedules, and sending follow-up letters.
  • Work irregular hours and overtime as requested by the VP for Enrollment Management.
  • Assist in other duties as deemed necessary by the VP for Enrollment Management.
  • Coordinate with EM leaders to execute complex projects and support internal and external communication for the EM division.
  • Serve as lead resource and primary point of contact for the division, if necessary.

Requirements

  • Bachelor's degree required.
  • Fully proficient in Microsoft Office programs, particularly Word, Excel, Outlook, and PowerPoint.
  • Minimum of 5 years of administrative experience, with formal business school training potentially substituting for one year of experience.

Nice-to-haves

  • Experience with Drupal or equivalent content management system preferred.
  • Experience with Slate CRM preferred.
