About the position

The position provides advanced administrative support of a widely varied and complex nature within Prisma Health. The role requires extensive use of Microsoft Office applications to perform complex functions and handle highly confidential information. The individual will coordinate the work of clerical employees when necessary and will interact with all levels of internal and external customers, including community leaders. The position involves managing multiple complex projects, some of which may be multi-departmental or involve external entities. The successful candidate will work independently, exercising considerable discretion and independent judgment in their tasks. Key responsibilities include handling incoming calls, directing callers to appropriate personnel, and determining the urgency of each call to advise the Vice President as necessary. The role also involves scheduling appointments for the Vice President, keeping them informed of calendar events, and assisting with meeting preparations. Additionally, the position requires managing mail for the Vice President, organizing the flow of work, and maintaining the security of confidential information. The individual will perform delegated executive functions, make decisions within their authorized scope, and coordinate staff meetings, including preparing and distributing agendas and minutes. The candidate will be responsible for composing correspondence, memos, and reports on behalf of the Vice President, as well as monitoring the department budget and maintaining equipment and supplies. The role also includes serving as a timekeeper for the assigned area, entering timekeeping adjustments for payroll purposes, and coordinating special projects as assigned. This position is non-management and will report to a supervisor, manager, director, or executive.

Responsibilities

  • Handles incoming calls and directs callers to other personnel as needed.

  • Maintains files and security of confidential information.
  • Performs delegated executive functions to assist the Vice President.
  • Coordinates staff meetings and maintains conference room meeting schedule.
  • Composes correspondence, memos, and reports on behalf of the Vice President.
  • Monitors department budget and maintains equipment and supplies.
  • Serves as timekeeper for the assigned area and keys in timekeeping adjustments for payroll purposes.
  • Coordinates special projects as assigned.

Requirements

  • High School diploma or equivalent OR post high school diploma / highest degree earned.
  • 5 years of Administrative Experience Required.
  • Post High School courses in Computers or Office Technology - Preferred.
