About the position

The Executive Assistant provides personal and administrative support to a Senior Level Executive at Henry Ford Health. This role involves managing confidential information, preparing correspondence, scheduling meetings, and conducting special projects. The position requires a thorough understanding of the executive's responsibilities to effectively gather data, prepare reports, and handle sensitive inquiries.

Responsibilities

  • Prepare and finalize correspondence, reports, and other documents of a confidential nature.
  • Assist in preparing complex administrative reports and perform data gathering and analysis.
  • Screen visitors and telephone calls, responding to inquiries and referring complex matters to appropriate personnel.
  • Engage with various contacts inside and outside the organization to relay information and arrange meetings.
  • Manage the executive's calendar, including scheduling meetings, conferences, and travel arrangements.
  • Maintain and revise recordkeeping and filing systems for confidential documents.
  • Attend meetings, take minutes, and distribute them to relevant personnel.
  • Perform specialized functions related to departmental operations, including purchasing supplies.

Requirements

  • High School Diploma/G.E.D. required; Associates Degree in business or secretarial field preferred.
  • Ability to proof and edit reports and correspondence for readability and accuracy.
  • Typing speed of 50 w.p.m. and proficiency in using software packages.
  • 5-7 years of progressively responsible related work experience in administrative roles.
  • Strong interpersonal skills for effective communication with diverse groups.
  • Analytical skills for preparing reports and handling administrative details.

Nice-to-haves

  • Experience in a healthcare setting is preferred.
  • Familiarity with executive-level administrative tasks.
